JUNIOR PHOTO AGENT - WEST COAST

This role supports the CEO, Kelly Montez, providing her with administrative assistance, aiding with artist management, promoting the agency/roster and advancing executive initiatives, as well as managing the LA office facilities. This entry-level position will provide tasks and responsibilities that are foundational to the commercial photography industry, allowing for the development of nuanced skills and gaining valuable experience. This position presents a great opportunity for growth and advancement, as you acquire knowledge and expertise in the world of Artist Management.

The purpose of this role is to maintain forward progress on all projects and increase the CEOs capacity and productivity. Key duties in this role include: administrative and strategic support for industry initiatives, project management for Photo/Motion Division, and generally supporting the CEO. The role is based in Los Angeles and requests an in-office commitment of 3-4 days per week.

RESPONSIBILITIES

  • Administrative Support - 10 hours/week
    • Manage CEO’s calendar

      • Coordinate client meetings, book reservations for client meetings and facilitate travel arrangements

      • Organize and prepare for internal meetings

    • Jumpstart CEO’s external communication

      • Assist in promotional initiatives by requesting final images/assets from clients, maintaining accurate mailing lists and developing messages in CRM

    • Support annual Agency Game Plans

      • Assist the Photo/Motion Division with building decks for the development of artist and agency promotional plans

    • Manage PR and Industry initiatives

      • Client gifting and branded agency materials

      • Apostrophe events/holiday planning

      • Assist the CEO in developing programming and educational seminars for industry panels and in-person events

  • Photo/Motion Project Management - 25 hours/week
    • Support the CEO in managing client communication for her artists and clients, so that all projects run smoothly, on schedule and within budget. Responsibilities include:

      • Gathering creative briefs and scheduling artists calls

      • Collaborating with in-house and external Producers on bids, and providing light production support as needed (including managing calendars and drafting estimates)

      • Facilitating the artist treatment process on project pitches

      • Coordinating with Producers and Finance Manager on all financial matters related to photo/motion projects, including advance invoices and timely job wrap

    • Populate CRM System, Productivity Software and Financial Spreadsheets

      • Inputting and organizing all client contact information, inquiries, call sheets, projects and promotional outreach on a daily/weekly basis

  • General Office Coordination - 5 hours/week
    • Ensure that the office is a welcoming space for employees, clients, and artists

      • Manage the check-out process for internal tech (i.e. Employee computers, iPads and promotional materials)

      • Organize and maintain office storage and overall office tidiness

      • Welcome guests, accept messengers/deliveries

      • Keep the kitchen and supply closet well stocked

      • Communicate any building/facilities needs to the landlord

      • Schedule IT support for the office/Employees as needed

      • Create efficient systems and workflows that keep processes organized and moving, always with an eye for improvement

SUCCESS IN THE ROLE WOULD LOOK LIKE

  • Giving CEO time back on her schedule so that she can execute weekly promotional initiatives
  • Developing and maintaining strong relationships with artists, team members, and clients
  • An in depth understanding of all the steps required to successfully assemble a bid and execute a photo/motion production from project kick off to billing wrap
  • A clear understanding of how to utilize all sales, marketing and production systems including CRM (Copper), Google Docs, BlinkBid, Todoist
  • Increase Apostrophe’s visibility within the photo/motion community through successful industry events
  • Contributing to the office culture by being a dependable and caring presence


COMPENSATION PACKAGE

  • Annual Compensation: Salary commensurate with experience (Range: $60-75k yearly, plus bonus opportunities)
  • Paid Vacation: 15 days + major holidays and year end break. Paid Sick Time: 3 days.
  • Healthcare: Apostrophe will pay for 75% of healthcare costs, the remaining 25% is deducted pre-tax from each paycheck. 
  • Healthcare Flexible Spending Account (FSA): Option to opt-in up to $2300/year
  • Wellness Benefit: $100/month
  • 401K Contribution: Once you have been employed at the agency for 12 months, Apostrophe contributes an amount equivalent to 3% of your annual salary to a 401K plan on your behalf. You are also able to contribute an additional percentage of your salary, however that is not required.

  • Regular office hours are Monday-Friday, 9:00 am to 6:00 pm PST
  • MUST BE BASED IN LOS ANGELES - In office requirement of 3-4x a week
